Sophia's Inn ("we", "us") respects your privacy. This Privacy Policy explains what personal information we collect when you use our website, why we collect it, and how we protect it, in line with the Data Privacy Act of 2012 (Republic Act No. 10173) of the Philippines.

• Reservation details: your full name, email address, contact number, chosen room, check-in and check-out dates, number of guests, and any message you send us.
• Payment information: the amount you transferred, the bank or e-wallet account you paid to, the transaction or reference number, the payment date, and the receipt image or PDF you upload. We do not collect or store your card or bank login details.
• Technical information: the IP address used when you upload a receipt (for security and fraud prevention), and the session cookie the website needs in order to work.

2. Why we use your information

• To check room availability, hold your room and process your reservation.
• To verify your reservation fee payment and confirm your booking.
• To send you emails about your reservation, such as payment instructions, confirmation, payment issues, or expiry.
• To contact you about your stay and to respond to your questions.
• To keep records required by law, for example for accounting and tax purposes.

We do not use your information for marketing unless you separately agree to it, and we never sell your personal information.

3. Who can see your information

• Only our authorised staff can see your reservation details and payment receipts. Receipts are stored privately and cannot be opened through a public link.
• Our service providers process data on our behalf only to run the website and send emails, for example our web hosting and email providers.
• Booking platforms we use, such as Airbnb, receive only the dates a room is booked, so that the same room is not double-booked. Your name and contact details are not shared with them.
• Government authorities, but only when required by law.

4. How long we keep your information

• We keep reservation and payment records for as long as needed for your stay and for our legal and accounting obligations, and then delete or anonymise them.
• If your reservation expires or is cancelled before payment, we keep only what is needed for our records.

5. How we protect your information

• The website uses a secure (HTTPS) connection.
• Payment receipts are stored in private storage that only logged-in administrators can access.
• Each reservation's payment page uses a long, random link that cannot be guessed. Please do not share the link from your email with other people.

6. Your rights

Under the Data Privacy Act you have the right to:

• be informed about how your personal data is used;
• access the personal data we hold about you;
• correct inaccurate or incomplete data;
• object to processing, or ask us to delete or block your data, where the law allows;
• data portability; and
• file a complaint with the National Privacy Commission (privacy.gov.ph).
